Summary of the Position

Supports the success of ASF through administrative and team support. Works with Executive Director and ASF team to assist with planning, coordinating and implementing fundraising events, upkeeping fundraising sites, managing calendars, and organizing communications designed to raise funds for and to promote community awareness of ASF programs and services.

A successful candidate will work in service of the Autism Strong Foundation (ASF) mission and will demonstrate a strong commitment to quality, impactful work. The Coordinator will be required to work independently/remote, work under deadlines,, handle multiple priorities and activities, attend events and handle confidential information with discretion.

They will be a well-organized, independent individual with great technical skills, verbal and written communication skills who is comfortable working in a non-profit environment.  A solid history of collaboration within and among teams is a must.

Essential Duties and Responsibilities:

The ASF Team Coordinator will confidently advance two areas of work, serving as a critical member of the foundation’s team and a resource for the day-to-day functions that directly impact the success of ASF.

Area One: Support to the ASF team

·       Provide administrative and coordination support to the Fundraising Events Manager and National Brand Ambassador

·       Creating, Managing and Executing backend of online fundraising campaigns

·       Attend all major ASF events to assist in set-up, execution and break down

·       Work with vendors to order and ship materials for events

·       Daily management of ongoing events, communications, sign ups, and tracking 

·       Owner of ASF calendar and tracking of all team events 

·       Management of ASF team files in google shared drives 

·       Track RSVP's of events and interest inquires

·       Data entry and management of the CRM/Donor Management system

·       Other duties as needed in a support and administrative role

Area Two: Support to the Executive Director

·       Assist in coordinating and adding appointments to calendar,

·       Ensure pre- and post-meeting materials are prepared and distributed as required. This includes helping to prepare both internal and external reports.

·       Support ED in preparing communications to the Board of Directors, Committees, Volunteers, Sponsors/Donors and Team

·       Complete Sponsorship invoicing through QuickBooks

·       Assist in verification process of grant applications

·       Prepare Scholarship/Program acceptance/denial letters

OVERALL:

  • Represents the Autism Strong Foundation in a positive manner at all times, including working with staff, volunteers, and vendors.

  • Works at special events as directed. Expected to be a team-player and assist with set-up and tear-down of events.

  • It is the responsibility of all Autism Strong staff members to recruit, train and work with volunteers and to treat all clients, volunteers, guests, and other employees in a courteous and respectful manner at all times while maintaining a cooperative atmosphere for everyone.

  • Carries out any additional assignments required to fulfill the Mission of the foundation.

Desired Qualifications

Education: Bachelor’s degree required; previous nonprofit experience is highly desirable.

Experience: Minimum 1-3 years of administrative support, nonprofit preferred.

Skills and Abilities: A team player committed to developing and working within a collaborative environment and to ensuring the highest team, volunteer and donor service orientation. Additionally:

  • Capacity and willingness to learn ASF’s funding priorities, processes and procedures, and methods to assess progress and outcomes

  • Understand fundraising and service-based programs

  • Excellent calendar/appointment management skills

  • Strong organizational skills; ability to perform and prioritize multiple, constantly changing tasks concurrently with an excellent attention to detail

  • Proficiency in Google Workplace (Docs, Sheets, Forms, Calendar, Drive, Meets), Zoom Conferencing, QuickBooks, CRM/Donor Management Systems, Online Fundraising Platforms, Canva

Travel: Requires occasional travel within the region for meetings and events.

Hours: Flexible hours averaging 20 per week, understanding that weeks leading up to major events may go over that but balance will be in place other parts of the year. Occasional nights and weekends required as needed to support special events and related committee meetings.
